INTEGRATE TEAMDECK WITH PODIO

Teamdeck integrates with Podio for more effective resource management.


This integration is created for people who use Podio as their PM or HR software and store the following kinds of data there:

  • employee list
  • bank holiday dates
  • vacation/paid time off dates
  • project list (and status information for each project)

You’re able to integrate them with teamdeck so that you don’t have to enter this data twice and to make sure there’s information flow between both apps.


In order to integrate teamdeck with Podio you have to click on the Podio icon when you log in to teamdeck and then go to Settings > Integrations.


First click on the Podio integration. We will ask you to synchronize your organization and resources (employee list). First, pick an organization you want to integrate and click next. Then, select a Podio workspace. We will use this workspace to pull a list of employees. This way you’re able to import particular team members in People section. Click Save when you're done. 


INTEGRATE TEAM MEMBERS WITH PODIO EMPLOYEES

Note, that you can complete this step now or after you're done with the rest of the integration. In order to complete that step you have to head to Settings > People.


If you want the data you input within teamdeck (e.g. vacations of particular people) to be reflected in Podio as well, you need to integrate all of the team members. Make sure your organization is integrated with Podio, going through the step above and the steps below.


In order to connect particular people from your organization with their Podio accounts go to Settings > People. First, you need to add these people as team members. Once they're on the list, click on a team member you want to integrate. Then, click on the

Podio member drop-down list and select their Podio account. When you’re done, click save.


INTEGRATE VACATIONS


When you’re ready click next step.


It’s time to synchronize vacations. If you have an app in your Podio workspace where you store the vacation and PTO dates for your employees, it can be imported to teamdeck right here.


NOTE: You need to connect your team members with their Podio accounts, so that it’s possible to assign vacations to correct team members. You can see an instruction on how to do that towards the end of this article.


Click on synchronize vacations to expand this section. First, select a Podio workspace (the one where you store the vacation info), click next and then select a Podio app where those vacation dates can be found. Click next when you’re done.


Now that we know which app we should pull the data from, you need to help us configure it precisely. Select the field from your app which is where you see the name of the person who’s going on vacation. Typically it would be called “Name”, “Team member” or “Who’s away?”. Select the correct field from the Resource drop-down list.


Then, you have to do the same thing with the field in which you store the vacation dates. Select the correct field from the Date drop-down list.


When you’re done, click next step.


It’s time to synchronize holidays. Click on this section to expand it.


NOTE: You don’t need to connect particular team members to their Podio equivalents to use this feature as bank holidays concern the whole company.


Here, you can integrate the bank holidays calendar. First, select a Podio workspace (the one where you store the holidays info), click next and then select a Podio app where those holiday dates can be found. Click next when you’re done.


Now that we know which app we should pull the data from, you need to help us configure it precisely.

Select the field from your app which is where you see the name of the holiday so that we can name it properly in teamdeck.. Typically it would be called “Name” or “Holiday”. Select the correct field from the Resource drop-down list.


Then, you have to do the same thing with the field in which you store the dates of particular holidays. Select the correct field from the Date drop-down list.


Click next step when you’re done.


Finally, you can integrate projects, if you store them in Podio. Teamdeck allows you to synchronize the names of the projects as well as their status (active/archived). Click on synchronize projects to expand this section.


As it was the case with the previous steps, you first need to select a Podio workspace and then the Podio app where you list your projects. Click next when you’re ready.

Now that we know which app we should pull the data from, you need to help us configure it precisely. First, let us know which field is where you store the name of your project. It’s typically called “Name” or “Project”. Select the correct field from the drop-down list.


Then, select the field which is where you specify the status of your project (e.g. information that the project is already archived). We need this data to successfully mark projects as active/archived within teamdeck based on your Podio activity. Typically this field would be called “Stage” or “Status”.


Click next when you’re ready.


Now, we need to be able to recognize whether a given project is active or archived. Let us know what term you use for active projects (such as “In progress” or “Active”) and select it from the drop-down list. Then do the same for the term that you use for Archived projects (such as “Archived” or “Delivered”). 

Click next step when you’re done.


You’ll see an overview of the integrated elements. Click save when you’re ready to finish. 


Now, if you need to synchronize vacations with particular people, go to Settings > People to connect team members with their Podio equivalents. 

NOTE: If you’re not integrating vacations you can go to the last step and see if you need to synchronize historical data.

The last step concerns you if you need to transfer your historical data from Podio to teamdeck (or from teamdeck to Podio). It could be vacations, holidays or projects.


MANUALLY SYNCHRONIZE DATA BETWEEN TEAMDECK AND PODIO


Go to Settings > Integrations and click on the section called manually synchronize data between teamdeck and Podio:

  • if you want to move historical data from Podio to teamdeck click on Podio to teamdeck.
  • if you want to move historical data from teamdeck to Podio click on teamdeck to Podio.
